Privacy statement for clients of Somention

In performing our work we process personal data of employees of our clients (‘Clients’ personal data’). In this Privacy Statement we explain what personal data we process and for what purposes.

Somention B.V. is responsible for processing Clients’ personal data. We do so in compliance with the relevant laws and regulations.

Personal data we process

Somention processes the personal data of employees working for or acting in the name of its Client, in particular employees with whom we maintain business contacts or otherwise have contact for the purposes of the contract.

 

When entering into a business relationship, starting with the request for information all the way to having contact during the performance of the contract, we record the contact details of the contact person. These details are the name, job title, e-mail address and direct (mobile) phone number.

 

The purpose and basis for our processing of personal data

Somention processes Clients’ personal data on the basis of the performance of the contract. This includes processing data in preparing a contract. Somention also processes data as part of its legitimate interests as a commercial party.

 

How long we store personal data 

Somention does not store personal data for longer than is strictly necessary. Somention will comply with its statutory obligations to store data. Insofar as this is tax-related data, there is a retention period of seven years. For other personal data, Somention applies a retention period of a maximum of five years.

 

Sharing personal data with third parties

Somention does not sell Clients’ personal data to third parties and will only supply it insofar as necessary for the performance of our contract with the Client or to comply with any statutory obligation.

 

Somention enters into processing contracts with companies that will process your data to ensure that your data is treated with the same level of security and confidentiality. Somention remains responsible for this processing.

 

Right to access, rectify and erase personal data

You have the right to access, rectify and / or erase your personal data. You also have the right to withdraw any consent for the processing of your personal data or to object to the processing of the data by Somention, and you also have the right to data portability. This means that you can ask Somention to transmit your personal data that we keep in a computer file to you or to any organisation that you specify.

 

To request to access, rectify, erase or transmit your personal data or to withdraw your consent or to object to the processing of your personal data, you should send an e-mail to legal@somention.com.

 

So that we can be satisfied that the request is made by you yourself, please attach a copy of your proof of identity to this request. Your passport photo, MRZ (machine readable zone, the bar code with numbers at the bottom of your passport), passport number and citizen service number (BSN) should be blacked out to protect your privacy. We will respond to your request as soon as possible, and in any event within four weeks.

 

How we secure personal data

Somention takes the issue of protecting Clients’ personal data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, undesired disclosure, and unauthorised alteration. In particular, Somention makes sure that your data does not come into the possession of other parties and that access to its systems is at all times adequately protected.

How to complain

If Somention processes your personal data and you are dissatisfied with this Privacy Statement or the way in which Somention handles your data, you may submit a complaint to the Dutch Data Protection Authority, via https://autoriteitpersoonsgegevens.nl/nl/contact-met-de-autoriteit-persoonsgegevens/tip-ons.

 

Alterations to this privacy statement

Somention reserves the right to alter this Privacy Statement. Notification of any alteration will be given on this page. We will alter this Privacy Statement if we make any changes to the way in which we process personal data. Somention advises you to check at regular intervals for any alterations that may have been made.
